Not sure what you are doing wrong, but you may want to check the dispatch date on your shipments. If you say print a label before 4 pm on a Monday the 4th with the intend to mail on Tuesday the 5th it will be considered a late shipment.
Being in Charlotte is that where a USPS sorting hub is? If so they should be scanned that night and you should be good if they are mailed and usps does their job correctly.
